  • Website information: Technical information and website usage data collected through cookies and similar technologies, where applicable.
  • Communications: Information you provide when contacting ORBIT Fitness.

We only collect information reasonably necessary to operate our services and support participant safety.

3. How We Use Your Information

We use personal information to:

  • Process bookings and payments.
  • Manage class attendance and communicate booking information.
  • Assess relevant health considerations before participation.
  • Identify where exercise adaptations or further discussion may be appropriate.
  • Respond to emergencies and contact nominated emergency contacts when necessary.
  • Maintain appropriate business, financial and safety records.

We do not use health questionnaire responses for advertising or marketing.

4. Our Legal Bases for Processing

Under UK GDPR, we process personal information using the following lawful bases, as appropriate.

Performance of a contract — Article 6(1)(b)

We process information necessary to manage bookings, provide exercise classes and administer related services.

Legal obligation — Article 6(1)(c)

We process information where necessary to comply with applicable legal obligations, including tax and accounting requirements.

Legitimate interests — Article 6(1)(f)

We may process information for legitimate business purposes, such as responding to enquiries, maintaining service security and managing relevant records, where these interests do not override your rights and freedoms.

Consent — Article 6(1)(a)

Where required, we seek your consent for optional activities such as certain marketing communications and non-essential website tracking.

Health information is classified as special-category personal data under UK GDPR. For pre-exercise health screening, we rely on your explicit consent under Article 9(2)(a), alongside the relevant Article 6 lawful basis.

You may withdraw your consent to health-data processing by contacting ollie@enterorbit.co.uk. Withdrawal does not affect processing already carried out lawfully. If you withdraw consent, we may be unable to complete the screening necessary for participation.

5. Pre-Exercise Health Questionnaires (PAR-Q)

Before attending an ORBIT Fitness class, participants are asked to complete a Pre-Exercise Health Questionnaire.

The questionnaire helps us identify relevant health considerations, assess whether further discussion may be necessary and consider appropriate exercise modifications.

Information may include details relating to medical conditions, injuries, medication-related considerations and other factors affecting physical activity.

How your information is handled

  • Responses are collected through Google Forms using a Google account dedicated to ORBIT Fitness.
  • Access is restricted to authorised ORBIT Fitness personnel.
  • Health information is used for pre-exercise screening and participation safety purposes.
  • Health information is not used for marketing or advertising.
  • Where appropriate, participants may be contacted privately to discuss their responses.
  • Submitting a questionnaire does not automatically confirm that a participant is cleared to exercise.

How long we keep PAR-Q information

We normally retain PAR-Q responses for up to three years after a participant's last class, where this remains necessary and proportionate.

Information may be retained longer where reasonably necessary in connection with an accident, complaint, insurance matter or legal claim, subject to applicable law.

We periodically review stored information and securely delete records that are no longer required.

Your rights

You may request access to your information, correction of inaccurate information, withdrawal of consent or deletion where applicable.

Please contact ollie@enterorbit.co.uk.

6. Booking and Payment Processing

ORBIT Fitness uses a WordPress-based booking system integrated with Stripe.

When you book a class, we process the information necessary to manage your reservation and payment.

Payments are processed securely by Stripe. ORBIT Fitness does not directly collect or store your full payment card details.

Stripe processes payment information in accordance with its own privacy arrangements.

Where international transfers occur, we consider the applicable legal requirements and safeguards.

We restrict access to questionnaire responses and use available account security controls to protect personal information.

Health information is not shared for marketing purposes.

10. How Long We Keep Personal Information

We retain personal information only for as long as necessary for the purposes for which it was collected, taking account of applicable legal obligations and legitimate business needs.

Our normal retention approach is:

  • PAR-Q and health screening records: Up to three years after the participant's last class, subject to justified exceptions.
  • Booking and attendance records: Normally up to three years after the last booking, unless a longer period is necessary.
  • Financial and transaction records: Normally six years after the relevant financial year, subject to applicable tax and accounting requirements.
  • Emergency contact details: For as long as required for participation safety, normally aligned with the participant's active screening record.
  • General enquiries: Normally up to 12 months after the enquiry is resolved, unless further retention is justified.

Information connected to an accident, complaint, insurance matter or legal claim may be retained longer where necessary and lawful.

These periods are reviewed periodically. Information that is no longer required will be securely deleted or anonymised where appropriate.

11. How We Protect Your Information

We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse or disclosure.

These include restricting access to business accounts, limiting access to sensitive information and using security measures available through our service providers.
